How-To: Manage Your Whitelist/Blacklist with Barracuda Spam Firewall

Your CoatesIT-managed email account uses Barracuda Spam Firewall to protect your account from unwanted and potentially dangerous messages. You have the option to manage your personal Whitelist/Blacklist of incoming email addresses. Here are instructions for managing your own Whitelist/Blacklist.

Whitelist: Addresses that are SAFE; accept all messages from these addresses

Blacklist: Addresses that are UNSAFE; reject all messages from these addresses

Each day, you should receive an email containing a summary of any messages that have been “quarantined” or identified as spam and held back from your inbox. The details of the email will be something like this:

You have ## messages in your spam quarantine inbox.  To view the contents of your quarantine inbox or to manage your spam preferences, please open the following link in your browser:

http://long-complicated-link-address

 

To manage your whitelist/blacklist, first click on the link at the end of the email. (In some email programs, you may need to hold down the [Ctrl] key while clicking the link.) This link contains your username and password so it will log you in automatically.

The front page should look something like this:

 


The first email on the list certainly looks like spam. But let’s say that you recognize the second email; it’s from a business associate of yours and should not be marked spam. There are two options:

1.      Deliver the message. This particular email will be delivered to your inbox but future emails from this sender will still be marked as spam.

2.      Whitelist the message. This email will be delivered to your inbox and all future emails from this sender will be considered safe and sent to your inbox.

Note: There is no need for you to Delete any messages here because, as indicated at the top right of the screen, any messages older than 30 days will be removed automatically. You do not need to “clean-up” this area as you normally would your email inbox.

To view a list of addresses on your whitelist and blacklist, click the preferences tab.

Addresses currently assigned to either list will be shown here (whitelist first, blacklist further down the page). You can also add an address manually to either list by typing it in the text box and clicking “Add” or remove an address from the list by clicking the trash can to the right.

You do not need to use any other areas or worry about any settings on the Barracuda Firewall site other than what was discussed here.
